Ask for a reference

Always ask before you list someone as a referee. This short email tells them what it's for, when they might be contacted, and gives them an easy way to say no.

Subject: Reference request – [Your name]

Dear [Name],

I hope you're well. I'm applying for a new role, and I'd be grateful if you would act as a referee for me, based on my time as [your job title] at [company].

The employer may get in touch [when, e.g. in the next two weeks]. I'm happy to send you the job description and my current CV so you have the details to hand.

If you're not able to, that's completely fine, and thank you for considering it.

Kind regards,
[Your name]

How to use it

  1. Pick someone who managed your work recently, if you can.
  2. Fill in the role and when they might hear from the employer.
  3. Send it, and offer the job description and your CV.
  4. Thank them afterwards, whatever the outcome.

Questions

Who should I ask?
Usually your most recent line manager. If you're a student or school leaver, a tutor, teacher or volunteering supervisor works.
Do I need to put references on my CV?
Not in the UK or US. You can leave them off and provide them when asked. In Australia and New Zealand, listing two referees is common.
What if they say no?
That's fine and better than a lukewarm reference. Ask someone else.
